Overview
AI tools such as Microsoft Copilot Studio and Claude allow employees to create and publish AI agents — AI assistants that automate or support specific business tasks — with relatively few restrictions.
Because agents connect to internal data and external systems, it is important for organizations to keep track of who has created what, from both a security and governance perspective.
Examples of risks include:
- Orphaned agents: When an agent's owner leaves or changes roles, the agent may continue accessing internal data with no one responsible for managing it.
- Shadow agents: Agents created by users who are not registered in Josys User Profiles may go undetected and unmanaged.
- Cost impact: Depending on usage, agents may affect your organization's licensing costs.

What You Can Do on the AI Agents Screen
Viewing Agent Information
The AI Agents screen displays the following information.
| Item | Description |
|---|---|
| Total AI Agents | The total number of agents detected from connected sources. |
| Agents without an owner | The number of agents with no owner set in the AI tool. This typically occurs when an owner has left the organization or changed roles. |
| Shadow Agents | The number of agents created by users who are not registered in Josys User Profiles. |
Classifying Agents
Even if an agent appears as a Shadow Agent or has no owner set, your IT team may already be aware of it and have approved its use. In that case, mark it as Authorized to keep your records accurate.
