This article explains how to manage departments in Josys when your User Profiles are synced from an External Data Source (EDS).
Overview
When an External Data Source is connected, departments are automatically imported along with user profiles. Each user's department assignment is derived directly from the source system.
Josys also offers flexibility to manage departments from within the platform, even when connected to an external source.
Managing Departments on the Source via Josys
When an external data source is linked, Josys allows you to create, edit, and delete departments directly on the source system from within the platform.
Creating a New Department
To create a department on the external source, enable the “Sync with source” toggle while creating the department.
If the toggle is disabled, the department will be created only within Josys (local department).
Editing a Department
Departments imported from the external source can be edited in Josys.
You can update the department name and parent department, and the changes will be applied back to the source.
Deleting a Department
Departments linked with the external source can be deleted from Josys, which will also remove them from the source.
Note: Source systems may restrict deletion of departments with assigned users. Josys enforces the same rules, so you may encounter deletion restrictions based on source-side validation.
Editing the Department of a User Profile
You can change the department of a user profile directly in Josys.
If the profile is linked with the external source, the change will be reflected on the source system as well.
Disabling Department Import from the External Source
If you prefer to manage departments entirely within Josys, you can disable the department field import.
Steps:
After linking the External Data Source, click “Select fields to sync” from the integration card.
Uncheck the “Department” field to stop importing department data.
Once disabled:
All departments become locally managed in Josys.
You can assign these departments to both local and externally linked user profiles.
Additional departments can be created locally and assigned to user profiles as needed.
