Josys enables the IT Admins to automate the app access review process by creating a customized workflow. This workflow allows the IT Admins to create triggers for the apps for which requests have been made, set various conditions, and route them to the designated approvers for review and actions. The automated workflow ensures a secure, efficient, and auditable access management process.
Steps to creating an automated workflow for App Access Request
Step 1: Select Workflows and click New Workflow.
Step 2: Click Create Workflow from App Access Request.

Step 3: In the following screens, confirm the Triggers and Conditions to initiate the workflow. Then click on Next to select target apps.
Step 4: (Optional)On the Condition screen, you can set conditions such as department, role, or employment category. If no conditions are required, please click “Skip” in the bottom right corner.
Step 5: In the Approval screen, configure how the app access request will be handled from the following types of approvals:
- Auto Approve: Automatically approves the app access request.
- Choose Approvals: Choose the approvals that will review and approve this request.
- Auto Reject Request: The request will be automatically rejected.
After selecting the required option, click Next.
Step 6: Next, configure one or more actions to be executed when the workflow conditions are met based on the response received by the user. You can choose to:
- Add user app accounts
- Create JIRA Ticket
- Create Manual Task
- Send an email to the recipient
- Create HTTP Request
Step 7: Once all actions are configured, click Next to proceed.
Step 8: Click Save Workflow to save this workflow. The workflow is enabled by default; however, you may disable it in this step.
Step 9: The newly created workflow is displayed on the Workflow screen, from where you can view workflow run history, edit, or delete a workflow.
