As a Josys Administrator, you have the option of adding user profiles manually or importing them from a CSV file. However, you can also integrate Google Workspace as an External Data Source in Josys to automatically add user profiles.
Prerequisites
To facilitate the Google Workspace linking with Josys, ensure that you have:
- Integrated Google Workspace. To learn about the integration process, refer to Google Workspace Integration.
- Enabled the API access within Google Workspace. To learn how to enable API access, refer to Enable Google Workspace APIs.
- A Google Workspace admin account
- Unlinked existing External Data Sources (if any)
Steps to link Google Workspace
Step 1: Select External Data Sources from the Integrations menu and click the Link under Google Workspace.
Step 2: (In case there is more than one Google Workspace integrations)Select a workspace to synchronize the user accounts and click Submit.
Step 3: Once Google Workspace is linked, you will receive a confirmation message. Josys will start retrieving the user data from Google Workspace and syncing it. You can click Refresh to update the User Profiles data
Step 4: After the data synchronization is completed, you can access the Google Workspace user’s data from the User Profiles section. Here, all synchronized user profiles are displayed with a Google Workspace icon. Open the User Profile to check the current status of user data.

Disabling Google Workspace
Step 1: Click [...] and select Unlink in Google Workspace.
Step 2: Click Unlink to disconnect the Google Workspace.
Step 3: Once the Google Workspace is unlinked, you can link other external data sources, such as SmartHR or Microsoft 365 (Azure AD).
